01 Who we are
Talora is operated by Talora Inc. and its European subsidiary Talora Unipessoal Lda, registered in Lisbon, Portugal. In this policy, "Talora", "we" and "us" refer to both companies. We provide a client workspace that studios and agencies use to manage clients, projects, approvals, invoices and time.
This policy explains what personal data we collect, why we collect it, how long we keep it and the choices you have. It applies to talora.app, the Talora web application, client portals hosted by Talora and any related support or marketing communication.
02 Our role: controller and processor
When you create an account, browse our website or talk to our team, Talora is the controller of your personal data.
When a studio uses Talora to store information about its own clients, such as contact details, project files, messages or invoices, that studio is the controller and Talora acts as a processor on its behalf. We only process that data to provide the service, under the terms of our Data Processing Addendum. If you are a client of a studio that uses Talora, please contact that studio first with any privacy request.
03 Information we collect
We collect only what we need to run and improve Talora:
- Account information such as your name, work email, password hash, studio name, role and profile photo.
- Workspace content you or your team add, including clients, projects, tasks, files, comments, briefs, time entries and invoices.
- Billing details such as billing address, tax ID and the last four digits of your card. Full card numbers are handled by Stripe and never touch our servers.
- Usage data such as pages viewed, features used, device type, browser, approximate location from IP address and error logs.
- Communications you send us by email, chat, the contact form or support tickets.
04 How we use information
We use personal data to provide, secure and improve Talora. Specifically, we use it to:
- Create and maintain your account and workspace, and authenticate you when you sign in.
- Deliver core features, such as sending client portal invitations, invoice reminders and approval notifications.
- Process payments, prevent fraud and meet our tax and accounting obligations.
- Respond to support requests and send important service notices, such as security alerts or changes to these terms.
- Understand how features are used in aggregate so we can fix problems and decide what to build next.
- Send product updates and newsletters if you have opted in. You can unsubscribe from any email in one click.
05 AI features
Talora offers optional AI features, such as drafting briefs from call notes or suggesting quote line items. When you use them, the relevant content is sent to our AI subprocessors to generate a response and is returned to your workspace.
We do not use your workspace content to train AI models, and our agreements with AI providers prohibit them from doing so or retaining your content beyond what is needed to return a result, typically no more than 30 days for abuse monitoring. Workspace admins can switch AI features off for the whole studio in Settings.
06 Legal bases for processing
If you are in the European Economic Area, the United Kingdom or Switzerland, we rely on the following legal bases: contract, to provide the service you signed up for; legitimate interests, to secure, analyse and improve Talora in ways you would reasonably expect; legal obligation, for tax, accounting and regulatory requirements; and consent, for marketing emails and non essential cookies, which you can withdraw at any time.
08 Security
Security is part of the product, not an afterthought. All data is encrypted in transit with TLS 1.2 or higher and at rest with AES 256. Production systems run in isolated environments with the EU region hosted in Frankfurt and the US region in Virginia, and data is backed up hourly with encrypted backups kept for 35 days.
Access to production data is limited to a small number of engineers, protected by hardware security keys and single sign on, and every access is logged and reviewed. We run automated vulnerability scanning on every release, commission an independent penetration test every year and are working towards SOC 2 Type II certification.
Customers can protect their own workspaces with two factor authentication, and Agency plans add SAML single sign on, custom roles and a 12 month audit log. If you believe you have found a security issue, please email security@talora.app. We respond to reports within one business day and will never take legal action against good faith research.
09 Retention and international transfers
We keep workspace content for as long as your workspace is active. When a subscription ends, the workspace becomes read only for 90 days so you can export your data, then it is permanently deleted from our systems and removed from backups within a further 35 days. Billing records are kept for as long as tax law requires, usually ten years in Portugal.
Where personal data is transferred outside the EEA or UK, we rely on the European Commission Standard Contractual Clauses, the UK International Data Transfer Addendum or an adequacy decision, together with additional safeguards such as encryption.
10 Your rights and choices
Depending on where you live, you may have the right to access, correct, export or delete your personal data, to object to or restrict certain processing, and to withdraw consent. California residents have the right to know, delete and correct, and the right not to be discriminated against for exercising these rights.
You can update most account information directly in Settings, and export your workspace at any time. For anything else, email privacy@talora.app. We will verify your request and reply within 30 days. You also have the right to lodge a complaint with your local data protection authority, which in Portugal is the Comissão Nacional de Proteção de Dados.
11 Changes and contact
We may update this policy as Talora grows. If a change is significant, we will notify workspace admins by email and in the app at least 30 days before it takes effect. The date at the top of this page always shows when the policy last changed.
Our Data Protection Officer can be reached at privacy@talora.app or by post at Talora Unipessoal Lda, Rua da Boavista 72, 3rd floor, 1200-066 Lisbon, Portugal.
